What is project failure and How do projects fail

Why projects fail is a very difficult question to answer, like the question of whether project management is an art or a science, or perhaps both. Over the years data has been collected to pin point the reasons for project failure – some debate that the reasons are concrete where others like to believe that there are innumerable ways a project can fail which the project manager cannot foresee all.  At Halogen Designs we take project management very seriously. We have established processes that ease the amount of pressure put on us and our clients so that we can focus more of our energy onto our clients projects…. and isn’t that what its all about?

Levels of Project Failure

Project failure,” however, is not synonymous with “project death.” There are varying degrees of failure. The most extreme case, of course, is total project cancellation, and perhaps a few broken windows and bruised egos. In addition to applying the processes and principles taught in project management class, you can also use your personal work skills like communication, management, leadership, conflict resolution, and diplomacy to alleviate some of the stress put onto a project and its team.

Pointers for a healthy project

There are a few pointers which can help us prevent the failure in many ways let us pen down a few for our understanding and knowledge:

  1. Lack of management commitment
  2. Lack of a solid project plan
  3. Lack of project methodology
  4. Lack of user input
  5. Lack of organisational support
  6. Centralized proactive management initiatives to combat project risk
  7. Enterprise management of budget resources
  8. Provides universal templates and documentation
  9. Poorly defined roles and responsibilities
  10. Inadequate or vague requirements
  11. Stakeholder conflict
  12. Team weaknesses
  13. Unrealistic timeframes and tasks
  14. Competing priorities
  15. Poor communication and interpersonal skills
  16. Insufficient resources (funding and personnel)
  17. Business politics
  18. Overruns of schedule and cost
  19. Estimates for cost and schedule are erroneous
  20. Lack of prioritization and project portfolio management
  21. Scope creep
  22. No change control process
  23. Meeting end user expectations
  24. Ignoring project warning signs
  25. Inadequate testing processes Bad decisions

Even with the best of intentions or solid plans, project can go wrong if they are not managed properly. This is when the project manager must recognize a warning sign and take action. If you understand the difference between symptoms and problems and can spot warning signs of project failure, your training will help you take steps to right the wrong before it happens.

Making Effective Teams

Making teams which perform effectively and coherently has been a paramount concern for organizations everywhere. Effective management coupled with sound communication become more important for delegating and managing the teams under you.

team 1 300x199 Making Effective TeamsBuilding a team from scratch is a daunting task – it initiates by learning about your team members. Their competencies and ways of thinking are vital to understanding where they can add value with their current knowledge. Mutual respect and understanding with no blame games can be achieved through openness, frankness and discussing all the issues candidly within the professional boundaries.

It is of utmost importance for the project leader to establish a team synergy which can be achieved once the leader understands his/her team. The leader should have excellent communication skills not only to manage the team, but to delegate tasks effectively and in accordance to what is required of the team.

Expectations with the team should be made clear so that they have clarity of how they are supposed to perform on daily basis. Everyone should feel a part of the team – where everyone’s work as an individual is as important as the rest; it is the team leader’s job to bring coherence and relevance to everyone’s work collectively.

Constant counseling and grooming of the team is helpful making a team who is fully functional and effective in every aspect. Having discussions for constructive ideas, sharing, participating, and actively listening are common traits for a committed and devoted team.  Understand you are part of the bigger picture and seek to find how you can contribute and add value to meet the defined objectives.

Creating team hierarchy and structure at the beginning helps a lot – it not only defines who the team leader is, but also sets out the roles and responsibilities for the team. Giving recognition and incentives within the team is always a good policy. Whether you are contributing the ideas or being the team leader you should view the team leader role as an elected official, not someone ‘in charge.’ The goal of the elected official is to listen to the other’s views and representing them fairly, while maintaining an eye for the greater good (in our case of the project).

The Kelley School of Business teach’s that teams should begin all team exercises by establishing a team contract. The contracts range from a few paragraphs to a few pages but they all consist of a few key guidelines.

  • A mission statement or outline of goals.
  • List of expectations
  • Corrective Action if expectations are not met
  • Signatures of all team members

team 2 Making Effective TeamsDuring my studies I have found these contracts very helpful. Keep in mind the size of the project when determining the depth of the contract. A 1-2 week project might only need a few lines but a year long project may require a strategic plan. Don’t be afraid to experiment to help determine the proper size of your team contracts.

It is always a good idea to empower team members to implement their decisions when they are in line with the organization’s goals and objectives – taking risks and learning is an incredible team building process. Don’t let small mis-communications grow into bigger conflicts. Deal with them as soon as possible and be consistent, just, and compassionate with your approach.

Differences in cultural backgrounds, ages, experience levels and educational levels, can influence the foundations used to make perceptions and judgments. Being open minded to these varying points of view should be encouraged.

Creating Success Stories

Creating success stories is something easier said than done – but it doesn’t mean one cannot create one’s own story. It requires a lot of focused hard work, patience, support and the fire within one’s self to make a difference. It is usually observed that people with high ambitions who would stop at nothing to make their dreams come true are the ones who end up paving a path for others to follow them.

Following are a few basic logical steps that one can take as initial guidelines to follow for making a success story of your own:

1 – Developing Skill Set

We all have talents of different caliber and nature. Most of the times we nurture the abilities within us to perfection so that we can make use of them – knowing your strengths and capitalizing on them can help you succeed in the long term. In case if you plan on starting on your own venture, it is important to know what your strengths are, mapping them to your services and/or product, to whom can you sell these services/products and how you can achieve it. Building a strong team and synergizing within your team to achieve a common goal and objective helps building a long lasting business.

2 – Market It Right

Without marketing yourself it is impossible to let others know what you are offering – but only marketing does not do the trick. You have to market yourself right. Whether you do it on a small scale or large, whether it is online or not does not make a difference as long as you don’t know which audience you are targeting and how your services/products can fulfill their needs to add value.

3 – Connections and Contact Building

Unless you have adequate connections present in the market, whether through word of mouth or through formal introductions you cannot continue business. Contact building can be done through different social mediums and networking forums which assists you in identifying the people you wish to contact, establishing relationships with them through professional networking and converting some if not most into clients.

4 – Deliver Value

Having business does not mean you are going to have repetitive clients giving you more business because they are happy with your work. In order to get repetitive business you need not only add visible value to your clients but deliver value on time, within budget and with quality. A satisfied customer is guaranteed to come back to give more work if his/her expectations are met according to the needs which they have spelled out.

5 – Customer Feedback

6 – Testimonials from Clients

Getting an unbiased view of the services which you have provided can be helpful in the long term. Taking testimonials from long term clients is like getting endorsed for the services you have provided which they have liked and have gained benefitted from. Once you have the testimonials it is always recommended to flash them on your website, blog, online communities to publicize not only the clientele you have been dealing with but to confirm and advertise how valuable your services have been for your target audiences. Publish your client’s comments and testimonials on your print media and newsletter which you may distribute to current and potential clients.

7 – Writing Case Studies

It is always a good idea to write case studies for specific clients and brands and publish them. This works in two-folds, not only it helps you broadcast your services but promotes and projects your clients as well at different mediums and platforms – at discussion groups, where people can refer to those studies and lessons learnt hence improving their learning curve through the experiences of others.

8 – Interviews with Clients

Recording interviews of clients is always a good idea. May it be few but asking them to discuss how you have added value to them is always a plus. Also, uploading the same on your website and blogs can definitely divert a lot of traffic and a potential of finding more business.

9 – Upload Your Interview and Success Articles

Upload your success articles on your blog and website. Add the testimonials while presenting to new clients and encourage them to talk to your previous and current clients for cross-referencing and getting first hand feedback from them about your work.
